Reservations of accommodation are accepted at the Pembroke 19 Caravan at Quay West Holiday Park subject to the following terms and Conditions of Hire.

Terms and Conditions of Caravan Rental - Pembroke 19, Quay West

1. ‘Owner’ shall mean Mr. J. M. Hey of 31 Elm Grove, OX7 6EF
2. ‘Hirer’ shall mean the person (s) detailed on the Booking Confirmation form
3. ‘Occupancy’ shall mean the period between the arrival and departure dates as agreed between the Owner and the Hirer and stated on the Booking Confirmation form.
4. ‘Property’ shall mean the static caravan, contents, facilities & items belonging to the owners sited on Pembroke 19, Quay West Holiday Park, New Quay.

5. Bookings

Provisional bookings for Occupancy accepted by telephone, in person, shall remain unconfirmed until such time as a completed signed booking form and booking deposit is received. Bookings will be confirmed be a Booking Confirmation form issued by the Owner stating details of the hire.

The caravan is 6 berths and at no time must this be exceeded.

The maximum hire period allowed is 14 days.

The Hirer of the caravan must be 21 or older, and must be present throughout the Occupancy.

The Property is only available for rent by families and responsible couples - Please note that the Quay West will not allow all male or female parties under any circumstances.

All outstanding balances detailed on the Booking Confirmation form must be received no later than eight (8) weeks prior to the arrival date or due date indicated (whichever is the soonest). Overdue balances shall be deemed as notice of cancellation.

Arrangements for collection & return of keys will be advised by the Owners prior to the arrival date.

6. Security Deposit

A security / damage deposit of £50 is required and will be added to the outstanding balance payment due for the period of Occupancy.

Security deposits will normally be returned within 5 working days following your departure when the caravan is deemed to be clean, tidy, and free from damage and all the inventory of all items in the property is verified as complete.

Loss or damage caused during the Occupancy must be notified to the Owner at the earliest possible opportunity in order that this can be rectified for the next occupants – failure to do so may result in forfeiture of the security deposit which shall be used to rectify any loss or damage and / or compensate the next occupant for any inconvenience caused. 

Examples of circumstances where all or part of the security deposit may be forfeited includes (but is not limited to) :

• Loss of or damage to any of the Owners’ property including, but not limited to, contents, furnishings, fixtures, fittings and facilities.
• Failure to leave the property and surrounding area in a condition that the Owner (or their nominated representative) deems to be acceptable.
• Excessive gas & electricity usage.
• Soiling of carpets, linen, furnishings, mattresses etc.
• Failure to observe departure times agreed with the Owner.
• Smoking or evidence of smoking inside the caravan.
• Breach of Terms and Conditions

7. Cancellation

Notice of cancellation of Occupancy by the Hirer should be sent in writing to the Owner as soon as possible. The following deductions shall apply depending on when written notice is received in relation to the arrival date :

• Greater than 8 weeks prior to arrival date Booking Deposit
• 8 to 6 weeks prior to arrival date 30 % of Hire
• 6 to 4 weeks prior to arrival date 50 % of Hire
• 4 to 2 weeks prior to arrival date 70 % of Hire
• less than 2 weeks prior to arrival date 100 % of Hire

In all instances security deposits shall be returned at the earliest opportunity following receipt of notice of cancellation.

The Owner reserves the right to cancel Occupancy without notice. In such circumstances the Hirer shall be notified as soon as is reasonably possible with the Owners liability limited to the value of any payments received from the Hirer.

8. General

Strictly NO SMOKING inside the caravan, however smoking is permitted on the outside decking and patio areas providing that ashtrays are used (an effective covered ashtray is provided located under the kitchen sink), emptied and cleaned prior to the next occupancy.

The area surrounding the caravan must be kept clean and tidy at all times.

Clothes are to be dried on the airer provided (located in the boiler cupboard) and at no time must they be dried over heaters or radiators.

Clotheslines are not to be erected.

Tents are not allowed on the park.

Park speed limits must not be exceeded.

In the event of behaviour likely to cause offence or damage to other users of the park or its facilities, the Quay West management reserve the right to remove any and all offenders from the park without redress either to Quay West or the Owners

All persons using the entertainment complex must honour Quay West club rules. Membership is discretionary and may be withdrawn at any time by the park management. 

Passes to use the complex facilities are the hirers’ responsibility and are available to purchase from main Reception.

Please keep noise to a minimum and show consideration to other caravan owners and occupiers at all times.

Litter and refuse must be disposed of in the designated areas provided by Quay West.

Ball games are to be played in the designated areas and not between caravans.
No motorcycles or Quad Bikes are allowed on the park without the express written permission of the Quay West park manager.

Please remove all dirty footwear before entering the caravan.

Use of the barbecue is permitted on the paved patio area only on the condition that it is left in a clean condition for the next occupancy. 

Under no circumstances disarm smoke alarms – please locate and check their function on arrival. In the event that the alarms are activated during cooking, the ‘hush’ button should be used.

All electrical and domestic goods, including boiler, must be switched off upon leaving the caravan. 

Hire prices include normal gas and electricity during your stay – it is recommended that the heating thermostat is kept below 18 o C

Quay West Park Rules apply at all times. Copies are available on request from the Park Reception

Cars to be parked in the nearest available areas – no parking is allowed on grassed areas in wet weather.

Park Management reserve the right to conduct maintenance and other activities associated with their business over which the Owner has no control and as such no liability for such can be accepted for any disturbance, inconvenience or curtailment

Although every reasonable effort has been made to ensure your safety, the owners will not be held responsible for any injury, death, loss of property, or damage suffered by the hirer or any member of the their party. Personal effects and belongings are exclusively your responsibility. The owners accept no responsibility or liability for loss or damage during your stay.

The hirer is deemed to have read the terms and conditions and agrees to be bound by them and acknowledges acceptance by payment of the rental and receipt of keys.
